Pastoral Council Minutes
Finance Council reported July as a great month for pledges, also a great 1st week in August. The parish debt is coming down quickly. It is a requirement that each parishioner receive his/her financial statement. A number of statements have not been picked up from the table in the hall way, therefore, those will be mailed. Ed O'Brien asked the council if the Knights of Columbus could present the documentary “Blood Money, The Business of Abortion,” at the Parish Center on Sunday, October 17, at 7:00 p.m. Other churches in the area will be invited, and the price of admission will be one package of baby diapers or a cash donation, which will help support the Wyandotte Pregnancy Help Clinic and Leavenworth Birthright. There are now four community churches in the Pro-Life sign rotation. Ed Standish explained the “Silver Rose” program, which honors Our Lady of Guadalupe, and was originally started by teenage boys aspiring to become members of the Knights of Columbus. Ed asked if a prayer service could be held at the Parish Center on Wednesday evening, September 22. The council agreed to both requests. Council's 2010/2011 goals were reviewed and prioritized. Staying on top of roof issues and paying off parish debt remains top two, and reaching out to “Christmas and Easter” Catholics is a continual, ongoing goal of the parish. Our Parish Website www.shcct.com will soon feature a pastoral page by Father Mark. The parish's monthly support of St. John's Mission, Belize was discussed. It was decided that we will continue to support St. John's until our current envelopes are exhausted (June 2011), and the new envelopes (July 2011) will support the MaryKnoll Lay Missioners. T-Bones game was not as well attended as in the past. If schedules allow, we will look at attending in June next year. The Parish Pictorial Directory will be proofed and sent back to the publisher for printing by August 23, 2010. Get Acquainted Sunday will be held on September 19, after the 10:30 a.m. Mass. Twelve new families have joined the parish during the past 6 months. There will be a Ministry Fair after each Mass on that weekend. Update of CPR training is being scheduled for October. Project Manager (PM): Paul Haverkamp. After 20-25 years, our parish piano instrument is occasionally malfunctioning and showing signs of age. Pending approval of the finance council, the parish council voted to purchase a new replacement piano. The council also voted to purchase a flat screen TV and electronics to improve the cry room and make Mass visible in that room. The TV will also be useful for Religious Education classes and the youth group. A ceiling fan has been purchased for the kitchen, and Bill will install it before the bazaar. June minutes were approved as originally submitted. Election of officers was held: President, Bill Loechler, Vice President, Phillip Welsh and Secretary, Sharon Edmonds. Bill agreed to accept the president's position for only one more year. Peggy confirmed that records of the original capital campaign had been closed and turned over to the finance committee. Approximately 80%, an impressive number, of the original pledges were paid in full. Bible School is scheduled for Monday, July 19 through Friday, July 23, 5:30-8:00 p.m. This summer's theme is, “Egypt....Story of Joseph.” This year we will not have a light dinner, but we will have snacks. The council discussed the need for some type of security for the center during office hours. The office staff feels very vulnerable with our “open door” policy. Possible solutions were discussed but Father Mark does not want the doors to be locked during office hours. He feels that a church should be open and available for anyone wanting to come in to spend time with the Lord and doesn't believe they should have to go through the office first. More suggestions and discussion to follow next month. Council agreed to share the costs of the CPR/AED refresher course. Parish will pay $10, Knights pay $10, and person taking course will pay $10. Parish will pay all costs for the parish staff. The council voted to not join Tonganoxie Chamber of Commerce. Installation of the projector for the worship center will be completed before VBS begins. Numbered plaques identifying the classrooms have been installed. Paul Mast is going through books on the Library Cart and discarding those that are not Catholic related. Those books that are not appropriate will be donated to the public library. Ground settling project on the east side of the building has been completed. Big thank you to Mark Breuer for his time and equipment. Parking lot lights are being repaired. A big thank you to Greg Plake for the donation of his time and equipment. Notice the new wooden Holy Water fonts, new candle holders on the altar, and new Holy Water container and sprinkler. They are beautiful, thank you so much. They were paid for with money donated to the Altar Society in memory of Bob Knapp. Peggy and Sharon will work on a wedding coordination letter which will be helpful to couples planning to get married at the Center. Elaine Standish is the parish council representative for the Parish Bazaar. Bill asked each council member to bring their list of goals for the upcoming year to the August meeting. May minutes were approved as originally submitted. Laura Haverkamp requested that the council consider becoming a member of the Tonganoxie Chamber of Commerce. The Chamber publishes a monthly newsletter that lists the ongoing events in Tonganoxie. The other Tonganoxie churches are members, and Laura believes it would be beneficial to the parish to join. Membership cost for the year is $50, and a parishioner has offered to fund it for the first year. The council discussed this and will decide later. Paul Haverkamp reminded the council that the CPR certificates that were issued 2 years ago will expire in the fall. The trainers have told Paul that if at least 24 people take the class, they could offer the training at a cost of $30 per person. More to follow on this subject. Paul agreed to again be the Project Manager. Dave reported that the summer Bingo fundraiser produced a profit of approximately $2,800, which will go directly to the principal of our loan. Attendance was down from last year; however, all agreed that it is a worthwhile fundraiser. Thank you to everyone who donated prizes, volunteered, and participated. We look forward to seeing you again next year. Mark your calendars now, June 11, 2011. Parish Picnic was a big success. Great attendance and great food. Thank you, Tony Miller, for providing the tent. Shari sent forms to parents of R.E. students requesting they complete and return to her by the end of the spring session. She wants to get a good count of the students who will be enrolling in the fall of 2010. The response was minimal. She agreed to put the form on-line, hoping that will be a better way to reach parents. Vacation Bible School is scheduled for Monday, July 19 through Friday, July 23. Light Dinner, 5:30-6:00 p.m., VBS 6:00-8:00 p.m. This summer's theme is, “Egypt....Story of Joseph.” Council toured the parking lot to determine a location for the basketball goal for the youth of the parish. Goal will be placed along the southeast side of the parking lot. The projector for the worship center will be installed before VBS begins. Numbered plaques identifying the classrooms are ready and are being installed. Sidewalk repair at the kitchen entrance has been completed. Thank you to all who helped with this project. Positive comments have been received concerning the doors being kept closed inside the worship space before and during Mass. Keeping these doors closed makes the worship space more conducive to prayer and meditation. Greeters and ushers please be aware of efforts to make this change. Everyone is concerned about the directory and why it is taking so long to get it published. The council apologizes for the delay. We thought we were doing the right thing—trying to save money; however, that is proving to be a wrong decision. The directory will be completed and distributed soon. April minutes were approved as originally submitted. Carolyn Hernandez discussed the safety hazards associated with the sidewalk and entrance on the northwest side of the center. She said she did a walk through of the building looking for other safety issues but didn't notice anything at this time. Medeana reported that our loan balance is down to $184,000! We've saved over $8,000 on interest due to the Mini Fund Drive. Summer Bingo scheduled during Tongie Days, Saturday evening, June 12. Volunteers are still needed. Contact Dave Hernandez if you'd like to help. Prize donations are beginning to filter in. We're looking for prizes with a value of at least $10-$20. Mass will be at 4:00 pm on that Saturday evening. Shari shared a film covering this summer's theme for Vacation Bible School: “Egypt....Story of Joseph.” VBS is scheduled for Monday, July 19 through Friday, July 23. Light Dinner 5:30-6:00, VBS 6:00-8:00 p.m. The council reconsidered the earlier decision to remove the couches and chairs in the 3rd grade classroom. One set has been claimed, but the council agreed to keep the second set for now. Council agreed to permanently install a basketball goal for the youth of the parish. Goal will be placed along side the parking lot. Discussion was held concerning the construction of play equipment for 3 to 6 year olds. Possibly parents could help with the construction in order to keep the costs down. The projector for the worship center will be installed before VBS. Phil is searching for a copier for the teachers’ work room. Plaques identifying the classrooms have been made. Several parking lot lights are blinking off and on (mostly off). The ballasts in the light sockets need to be replaced. Costs of this repair will be expensive because of the equipment needed to reach the lights. If anyone has access to a bucket truck (possibly through their work), donation of its use would save the parish money. Please talk to Bill Loechler, phone # 913-369-3137. Bid for sidewalk repair from Bartlett Cement and Landscaping has been accepted and repair will be made as soon as weather permits. Paul explained information he had put together on different models of pianos. Our current piano was purchased in 1986 and is ready for retirement. Discussion was tabled but all agreed that a new piano is necessary, probably something in the $2,500 - $3,000 range. Doors are being kept closed inside the worship space before and during Mass to help reduce the noise that comes from the hallway. Keeping these doors closed makes the worship space more conducive to prayer and meditation. Greeters and ushers please be aware of efforts to make this change. March minutes were approved as written. John explained the cemetery board's plans to do some much needed dirt work at the cemetery. Connie explained the need for an attorney's opinion concerning the Burial Rules and Regulations that she's working on. The cemetery board members are: John Reischman, Connie Putthoff, Ray Martin, Steve Miller, Kerry Putthoff and Mark Knipp. Thanks to all members of the board for your commitment. Cemetery clean-up day will be announced at a later date. Dave reported that the parish cash flow continues to remain steady. Summer Bingo is again scheduled during Tongie Days, Saturday evening, June 12. In order to make this a successful fund raiser, we're asking for prize donations with a value of at least $10 to $20. Something new that anyone would like to win as a prize. Mass will be at 4:00 pm on that Saturday evening. Father Mark reported that the parish received, $830.50 a rebate from the 2009 Archbishop Call to Share, (ACTS). This amount, plus the $700 received earlier. Shari discussed her concern with the lack of interest shown in a youth group. She's searching for answers and is open to any suggestion. First Communion will be held April 25, at 12:30 p.m. Mass. Graduation Mass, 10:30 a.m., May 2. This summer's Vacation Bible School: Monday, July 19 through Friday, July 23. There are two couches with matching chairs in the 3d grade class room. The council agreed that in order to maintain a classroom environment, the furniture should be removed. If anyone is interested in either couch and chair, contact the parish office. If they haven't been claimed by May 3, they'll be donated to the thrift store. Phil Welsh reported that the projector for the worship center has been purchased and will be installed soon. Phil is also looking into the purchase of an inexpensive copier for the teachers work room. The parish calendar is now available on the parish web site, www.shcct.com. . Ministry schedules are also posted. All reservations and scheduling must be coordinated with the parish office. The Janitorial bid was accepted from the current janitorial service. Thank you to all who submitted bids. The council agreed to remain with the current Sunday Bulletin Company. Elaine Standish agreed to represent the council for the Fall Bazaar committee. There was a good turnout for the Spring Cleanup. Thank you to all who helped, we'll meet again in the fall.
Pastoral Council Minutes Father Mark opened the meeting with a prayer. Those in attendance were Father Mark, Bill Loechler, Paul Mast, Elaine Standish, Elaine Schuler, Phillip Welsh, Dave Hernandez, Chris Donnelly, Medeana Knipp, and Shari Petree. Our guest was Theresa Mast. The February minutes were approved as written. Dave reported that the outlook for March looks good. We should have one more large gas bill. Medeana will pay the minimum which should be close to zero since we have been paying ahead each month and had been maintaining a credit with the gas company. Chris reported that the building fund will soon be under $200,000.00. Theresa gave updates to the various programs in our church which she oversees. She advised that there will be another Easter egg hunt this year. Anyone may donate small religious items for this. The Young Couples group currently has 10 children in the nursery. Theresa asked the council if they would be willing to donate some money for the purchase of small indoor toys for the nursery. The council approved to donate $200.00 for this cause. Theresa spoke of the Rosebud program and mentioned a proposal for the white rosebuds. The white rosebuds are currently to be used when someone has a miscarriage. She mentioned having seen an evergreen tree with white doves placed on it. She suggested placing an evergreen on the church property, perhaps the prayer garden or the cemetery. The white doves would have a deeper expression than the rosebuds. The council may consider incorporating this when future landscaping needs arise. Theresa mentioned forming a “Women of Grace” Bible study group. This would be for any woman in the church. She would like to see this happen in the fall of 2010. This group would be based off of the books by Johnette Benkovic. Shari reported that there are 237 children registered from pre-school age through 12th grade. First Communion will be held on April 25 at 12:30 p.m. There will be a rehearsal on April 23 at 6:00 p.m. Graduation Mass will be on May 2 during the 10:30 Mass. There will be 20 seniors graduating from our Parish. There are 12 young people training to be servers. They should be ready to go on the schedule sometime this spring. Bill reported that we will hand out cards to prospective new members during the Easter Masses as was done during the Christmas Masses. The roof leaks are still being monitored. A paper trail of all correspondence with architect and general contractor has been started by Bill and Medeana. A letter has gone out to see if they will replace the coping that does not match the drawings and install the counter flashings that were never put on. Bill reported that Andy Pitts from Treanor reported not finding any moisture in the insulation. Phillip reported that the projector should be here later this week and ready to set up. He has fixed the exhaust fan in the bathroom for us. Thank you Phillip for all that you do. He passed out samples of identification plates for each room in the Parish. The council agreed to purchase the id plates which show only the room numbers. Bill advised that the floors in the Parish will be stripped, waxed, and buffed before Easter. The Parish Spring Clean-Up Day will be March 27th. Sign up sheets will be going up soon. All help is welcome. Elaine Standish reported that she ordered 100 T-Bones tickets. The date for this outing is July 25th. She also said that the Parish pictures are organized and the directory front cover has been picked out for our pictorial directory. Bill reported about an editorial in the Tonganoxie Mirror regarding our Pro-Life signs. The Tonganoxie Christian Church asked to be part of the rotation along with West Haven Baptist Church and Sacred Heart. The Council voted to keep our current lawn care with Henry’s. The council voted to let Paul Haverkamp mow the outer field. Cleaning bids for the Parish will soon be going out. Watch for this notice in the bulletin. All bids need to be back by April 10th. Get Acquainted Sunday or GAS will be on April 18th after the 10:30 Mass. Anyone representing a Parish Ministry who would like to share information at this time, please contact Bill Loechler at 369-3137. Paul reported that the piano sometimes changes pitch all on its own. This may only get worse. The council discussed different options such as a new piano. Paul said he would look into prices on new/used pianos for us. Bill reported that the actual cost for a storage cabinet could be $525.00. Phillip said he would look into the cost of purchasing one from Quill. Bill said that the Cemetery clean-up will be closer to Memorial Day, possibly around mid May. Father Mark advised that we surpassed our goal on Call to Share. This is wonderful news. Pastoral Council Minutes March 9, 2009 The meeting was opened with a prayer. Those in attendance were Father Mark, Bill Loechler, Paul Haverkamp, Cindy Korb, Paul Mast, Elaine Standish, Sharon Edmonds, Peggy DeHoff, Dave Hernandez, Chris Donnelly, Medeana Knipp and Shari Petree. Guests attending were Theresa Mast and Nick Vancas. February minutes were approved as written. Nick has made much progress on updating our web site. Information is still needed but he will have it up and running soon. Theresa reported that the Elizabeth Ministry showed a profit this past year. Roses are being taken from the Rose Bud Ministry vase in the hallway; however, cards are not being left with contact information. The Young Couples Group is in need of nursery help on Sunday evenings. Sacred Steps Birthday Club has been successful and the gifts are now being picked up in the office. Plans are being made for this year's Easter Egg Hunt which will take place after 10:30 Mass on Easter Sunday. The Internal Audit revealed that our parish is doing a great job, and we received a rating of “Consistent Controls.” This rating indicates the Parish is consistently using multiple accounting best practices. Less than 5% of parishes receive this rating. Discussion was held concerning the upcoming “Mini Fund Drive.” The focus remains on paying off our parish's current debt. A Canon copier has been offered to the parish. It would be a major upgrade to our copying capabilities. Dave is having it inspected and getting quotes for ongoing servicing before a decision is made to accept it. Shari recommended that a “ViVitek” portable DLP projector would be the best fit for the youth group's needs. The council agreed that the youth group and the council would share in the approximate $500 purchase. Vacation Bible School needs a team to help with organization. Space is still available at Camp Tekakwitha for summer camp. Contact Shari if you're interested. The youth group voted to donate $100 to the Summer Bingo fund raiser. Thank you! Bill reported that approximately 100 people attended the Freedom of Choice Act (FOCA) presentation sponsored by the West Haven Baptist Church. Bill will speak on this subject on Catholic Radio (1090 AM) on March 14, 2009. A final decision was made to purchase the “stick” microphone needed for our choir. Costs including the hook up will run approximately $700. Floors are scheduled to be waxed and buffed on April 7, 2009. One bid was received and accepted on maintenance of lawn area. Bid was same as last year. Paul Haverkamp excused himself from the room during discussion of bids for mowing acreage. Contract was awarded to Paul as his bid was considerably lower than the other two bids. Bid sheets for Center cleaning contract are posted in hallway. Bids are due to parish office NLT April 10. Bill will gather bids on parking lot repair. New Parishioners Get Acquainted Sunday will be held on March 29 after the 10:30 Mass. If possible, a representative from each ministry should be available to introduce themselves and welcome our new parishioners. Paul H. is in charge and Cindy and Elaine will take care of refreshments. Elaine reported that the committee to update our parish directory met with the Life Touch Representative. Directory sign up will begin in July. Spring clean up is scheduled for April 4, 9 a.m. until completed. Windows and light fixtures are on the list. Also, the outdoor benches need to be sanded and treated. Bill plans to work at the cemetery. Donuts and coffee will be served. Knights will take care of mulching when their schedule allows. Parish will purchase the mulch. Elaine is project manager for clean up. Summer Bingo is still in organization phase. Remember that all profits will go to the principal of our loan.
