Pastoral Council Minutes
January 9, 2012

Father Mark opened the meeting with a prayer. Those in attendance were: Father Mark, Phillip Welsh, Bill Loechler, Sharon Edmonds, Elaine Schuler, Stacy Mulder, Mike Saunders, Medeana Knipp, and Shari Petree. Finance Council Representatives: Dave Hernandez, Chris Donnelly, and Joanne Acinger-Vancas. Guest speakers were: Rob Jardes and his son Kevin.

The minutes from the November 14, 2011 council meeting were approved as written.

Kevin addressed the council with news that he is working towards obtaining his Eagle Scout badge. He was asking the council if he could manage or oversee the project of installing the three flags which the council had discussed back in October. Kevin said he would need to present a design to the Boy Scout council. They would need to approve it as well as his troop leader. He realizes that this process would also involve contacting the City of Tonganoxie to see about permits. Kevin also mentioned about landscaping around the flags after they were installed. These are all things which he would incorporate into his proposal before the Boy Scout council for approval. Kevin’s dad also specializes in concrete work for a living. However, since Paula Rollins was the first to propose the three flags (the American flag, the Kansas State flag, and the Papal flag) being installed, she would need to be in agreement to Kevin’s proposal. Mr. Jardes contacted Paula by phone, and they will meet after Mass on the 15th to discuss Kevin’s ideas. Paula will then come to our next council meeting with her thoughts.

Finance: Dave said, in looking at the last four months of 2011 compared to the last four months of 2010, our Parish has a 19% increase in collections. He said that the new EFT offertory has been tested and is working. Medeana will enter transactions on the 15th & 30th of each month. However, if the weekend or a holiday falls into play then this could be a day or two earlier. Dave and several members from the Finance Committee will be available to help fill out the EFT Offertory Authorization form and answer any questions about EFT after Masses on the weekend of Jan. 21st & 22nd.

Youth: Shari said that their trip to Indianapolis for NCYC was a great success. She reported that Confirmation went well also. She said there will be safety training (Virtus) on Jan. 22, at 9:00 a.m. Shari will also look into putting her youth news online too.

Old Business: Candles for Easter: Mike said he would bring some samples to our next meeting. He is looking into drip-less candles. A date has been set for our next T-Bones game. This will be June 8th at 7:05 p.m.. The sump pump has been acting up. It was not working properly but has since been repaired.

New Business: It is time to fill out our report for Catholic Mutual Group (our insurance carrier). Bill said he would take care of this. The council voted and approved to give $100.00 for our bi-annual donation to the Ministerial Alliance. The council discussed the future plans for our playground. A shed for storing toys, etc. from the playground was discussed. Bill said that the Knights want to build a shed for storing a snow blower, and perhaps they would agree to make a bigger shed so half could be for their purposes and the other half for some playground toys. Bill will check with the Knights on the shed. The council also talked about pouring a slab for the basketball goal which has been stored inside the dumpster compartment. This would be great for the older youth. Theresa Mast will also need to come as a speaker to our future meeting with any new ideas she may have, too. Bill said he would check on the cost of a slab measuring 45’x25’ for the basketball goal.

Facilities: Bill said the Knox Box (Rapid Entry System Box) will be installed soon to comply with the City of Tonganoxie requirements. He is also looking into repairing the exterior lights not working, which may require new ballasts. Stacy mentioned she would like to have some Missals in the cry room. Mike said he would be sure to put some in there for the next Mass.

November 14, 2011

Father Mark opened the meeting with a prayer. Those in attendance were: Father Mark, Phillip Welsh, Bill Loechler, Sharon Edmonds, Elaine Schuler, Stacy Mulder, Mike Saunders, Medeana Knipp, and Shari Petree. Finance Council representatives: Dave Hernandez and Joanne Acinger-Vancas.

The minutes from the October 10, 2011 council meeting were approved as written.

Finance: Dave said that the outlook is good so far as we near the end of the year. He credits this to the Offertory Enhancement. Our parish has an increase of 24% since the first of October. There has also been an increase of 7% of parishioners using the envelopes. Dave has looked into the EFT or Electronic Funds Transfer with First State Bank and Trust. The total cost for this would be approximately $30 a month after we are set up with the bank. The council voted to go with the EFT. There will soon be instructions in the bulletin regarding how to start this. Families that wish to use the EFT can still give envelopes too so your child can put the envelope in the plate and you would just simply mark the envelope EFT. Dave said that he is working on Internet connection problems and has replaced several cables in the basement. He is installing UPS or Uninterrupted Power Supply devices in Medeana’s and Shari’s offices plus the teachers’ workroom. The total cost for this is approximately $200.00. Dave also plans to test the circuits in the parish with the assistance of those persons that volunteered with electrical experience.

Medeana requested that a mailbox be set up for the Knights. Bill will look into this and bring it up at the next Knights’ meeting. She also asked the council about mileage reimbursement. The council approved using 55.5 cents per mile per IRS guidelines. Medeana said there are still 17 boxes of envelopes that have not been picked up. If not picked up soon, Medeana will mail them out. Stacy volunteered to assist Medeana with a letter to accompany the envelopes. The bulletin ad & CTS rebates balance of $160.26 will go towards the cost of the three new trees recently planted by the playground.

Betty wrote a note to the council concerning the water used in the Holy Water fonts. If tap water is used, the lime and minerals in the water make the fonts look stained and dirty. The council agreed to purchase distilled water for the Holy Water fonts.

Youth Report: Shari said she and her group of youth are ready to head to Indianapolis for NCYC. She said that the projector in the worship center has not worked since the last storm. Phillip and Bill will look into this. Shari said some reserved signs in the parking lot for the Archbishop and visiting Bishop would be nice for their parking purposes during Confirmation. Bill will see about making those. She said that again this year there will be an Angel tree. This will go up the Sunday after Thanksgiving. Gifts will need to be returned back by December 11, 2011.

Old Business: There was still some concern over the Maryknoll envelopes going to the Korbs. Bill will check with Medeana to make sure she puts their name on the memo line of the check she sends to Maryknoll so John & Cindy will receive the money. Bill said the winter check for the HVAC was done. Our fall clean-up day went well. Thanks to all those who came out and helped. Bill said that Dave had suggested next time to put up a list of items that needed to be cleaned or fixed in our parish so that people can sign up for specific chores.

New Business: The council approved to purchase and hand out another book at Christmas Masses. The book chosen was “My Life with the Saints” by Jim Martin. Father Mark ordered the books during the meeting. Stacy and Mike agreed to be co-project managers on this.

Mike has been looking into purchasing no drip candles to be used during Easter. He will bring some sample candles to our next meeting.

Flags and flag poles: The council is still looking into plans on how to construct the bases and the costs involved with this, as well as flag poles. Bill said that the city said the poles need to be installed at least 15 ft back from property line of city. Bill will check with the Knights on their input and then include Paula Rollins in discussions since she so kindly offered to pay.

Bill said we now have a snow contract with Henry’s Lawn & Landscape. He also said that the speakers in the worship center and the emergency lighting need more bracing in the ceiling.

September 12, 2011

Father Mark opened the meeting with a prayer. Those in attendance were: Father Mark, Bill Loechler, Phillip Welsh, Elaine Schuler, Sharon Edmonds, Mike Saunders, and Shari Petree. Finance Council representatives: Dave Hernandez, Chris Donnelly, and Joanne Acinger-Vancas. Guest speakers were Theresa Mast and Gary Pratt.

The minutes from the August 8, 2011 council meeting were approved as written.

Theresa addressed the council with information on the “Family Faith Formation.” This is a program in which families teach their children about the Catholic faith. This is a program that would replace the traditional CCD program. The Family Faith Formation gets parents involved in doing Sunday School at home. Families would be trained with teachers for two hours a month. There would be times when the whole family would be involved too. A CD with a training manual would need to be purchased. The cost for this is $51.00 for each classroom of one teacher – 10 students. Theresa said it would be approximately three years before any noticeable change would be seen. Theresa mentioned that from the information she has received in speaking with other groups involved in the program, the Family Faith encourages families to live their faith more deeply, to tithe more, and families get involved in the church more. The way the program works is a three-year progression. The first year the current CCD program is left in place. The second year volunteer families are instructed in the training of family faith. The 3rd year the CCD program would be eliminated. This program is for grades K-6th with programs for 3 & 4 year olds. No changes are going to be made with Sacred Heart’s current CCD program. Theresa was just letting us know of this option.

Theresa also gave an update on the Elizabeth Ministry. She said the “Small Steps” is in need of purchasing new gifts. These gifts are for those baptized and for the next three years after their baptism. Also, small gifts are given out for the first 4 years of their birthdays. The council voted to fund this.

Gary Pratt from the Stewardship and Development office of the Archdiocese spoke to the council on the Catholic Legacy Society. The Catholic Legacy Society recognizes individuals who have included their parish and/or another institution of the archdiocese in their estate plan. As you have noticed in the bulletin our parish is asking you to prayerfully consider Sacred Heart Church in your will or trust. Mr. Pratt spoke on how as a parish we could contribute to an Endowment fund. He handed out information including an outline on ways to bequest and give to an Endowment. As a parish, to set up an Endowment the cost would be $5,000.00. One of the handouts stated that the rewards of Catholic bequests and planned giving include: memorialize loved ones; teach gratitude to future generations; create a gratifying and lasting legacy; promote greater financial stability within the church; and build the Kingdom of God by sustaining Catholic Community. The council will consider what Mr. Pratt had to offer, but nothing was decided as far as an Endowment at this time.

Finance: Dave said our parish still continues to have a good cash flow. Our building loan is now paid off. This is great news!

Youth Report: Shari handed out her budget for this 2011/2012 year for the council to review. This is $6,425.00, which is down slightly from last year. Confirmation is set for Nov. 30th at 7:00 p.m. She noted that Juniors for Christ has a new time. This is from 6:30 to 8:00 p.m. This group meets every 1st and 3rd Wed. of the month.

Old Business: Father Mark now has “Pastor’s Corner” on our Website. Be sure and check out our Website if you haven’t done so yet.

Tables: Joanne said that the Knights have agreed to pay 1/3 of the cost on the purchase of additional tables, along with the Altar Society. The council agreed to pay 1/3 as well. The cost was $156.33.

Playground: Phillip said that the fence for the new playground will go up at the end of September.
Get Acquainted Sunday: This will be Oct. 2, 2011, after the 10:30 a.m. Mass. Bill will be the project manager for this. We will also have coffee and donuts this date after both the 8:00 a.m. & 10:30 a.m. Masses.

Fall Clean-Up Day: This is Oct. 22, 2011, and Bill will be the project manager. Look for sign-up sheets soon. The more the merrier. The time is 9:00 a.m. until approximately noon.

Goals of the council for 2011-2012: The council reviewed the goals that we had outlined to accomplish this year.

Pastoral Council Minute
August 8, 2011

Father Mark opened the meeting with a prayer. Those in attendance were Father Mark, Bill Loechler, Phillip Welsh, Elaine Schuler, Sharon Edmonds, Stacy Mulder, Medeana Knipp, and Shari Petree. Finance Council Representatives: Dave Hernandez, and Chris Donnelly. Guest speakers were Connie Putthoff and Wilma Plake.

The minutes from the July 2011 council meeting were approved as written.

Connie spoke of the opportunity for 20 volunteers to work on Columbus Day, October 10, 2011, at The Renaissance Festival. The hours to work would be from 10:00 a.m. – 3:00 p.m. This would be for a profit of $1,000.00 which would go to our Building Fund. By this time our debt would be paid off, so this $1,000.00 would go into our Archdiocese Building Fund savings account for the new church. Any special clothes or shoes would be provided by The Renaissance. All food is already prepared so you may be asked to help serve. An ad regarding this will be in the bulletin. There are forms and a sign-up sheet in the Parish Office. Medeana will have this information. If you have any questions about this, you may ask Connie. You must be at least sixteen years of age to sign up.

Finance:
Dave said that we continue to have a positive cash flow. He said our debt will be paid off within the next month. From now on, any excess money that comes in will go into the Archdiocese building fund savings account. He mentioned that the new assessment our Parish is required to pay to Catholic Charities is $2,927.00 which is due by the end of June 2012. The Parish audit report found no exceptions. This is great news and many thanks to Medeana. Dave also spoke about a feasibility study for our new church. The council spent a good deal of time talking about this. This will be looked into again at a later date. The Archdiocese will make any final decision on doing a feasibility study.

Father Mark received information concerning the Offertory Enhancement Program. A letter will go out to all in our Parish around September 14, explaining this. Father Mark will also speak about this the weekend of September 16th and 17th. The enhancement program will end the 19th of October.

Medeana passed around the new Parish registry form she will begin using.

Religious Ed Report: Shari had us all go into the Worship Center to hear the music provided by the newly created Worship Band. Those in the band are: Kourtni Freemyer, Meagan Behm, Jeff Neal, Riley Hamm, and Hank Somers. They performed two numbers for us. They did a great job.They are all part of Hearts on Fire Worship Group. Shari asked about them performing during certain times such as youth group events, ROC Life Nites, Bazaar, and during Mass. Wilma was at our meeting to discuss about the group performing during Masses. It was decided that with the liturgy and Mass music changing in November that the Worship Band would not perform just yet for any Masses. They will, however, play at youth events and the Bazaar.

Old Business:
Bill said that the filters have been changed. He also has completed changing out all the bulbs in the Worship Center.

The fall seeding of our lawn was discussed but it was decided to just aerate the lawn. This will cost approximately $200.00. Bill will look into this in the fall.

Pastor’s Corner: This is something new that Father Mark will be doing on our Website, so look for this new addition soon.

Playground: The fence will be going up soon for the playground. The council agreed to add a couple of trees also, for some shade.

New Business:
Fall Clean-Up Day: This will be after the Bazaar this year. The date will be Oct. 22, 2011. Be ready to sign up for both the Bazaar and the Fall Clean-Up Day. This is a great way to get involved in your Parish and meet some new people.

Get Acquainted Sunday: This will be on October 2, 2011. We will also have those involved in the various ministries of our Parish present their information at this time. There will also be coffee and donuts that day, too. This will be after the 10:30 a.m. Mass.

Phillip will be making a new sign for Shari’s office so new parishioners can identify her Youth/R.E. Office.

Facilities: Bill said that the Facilities Committee would like to remove the three trees in front of our church as they are growing too big and growing into the windows. This was agreed by the council.

July 16, 2011

The July meeting was held at Peggy DeHoff’s home. Thank you to Peggy for hosting this dinner & meeting. Father Mark opened the meeting with a prayer. Those in attendance were Father Mark, Bill Loechler, Phillip Welsh, Paul Mast, Elaine Schuler, Medeana Knipp, Mike Saunders, Stacy Mulder, and Shari Petree. Finance Council representatives: Dave Hernandez and Joanne Acinger-Vancas. The council welcomed our new members: Mike Saunders and Stacy Mulder. The council would like to thank Paul Mast and Elaine Standish for having served on the council for the last three years.

Election of Officers for 2011-2012 are as follows: President: Phillip Welsh; Vice-President: Bill Loechler; Recording Secretary: Elaine Schuler

The minutes from the June 13, 2011 meeting were approved as written.

Bill started off the meeting by passing around a sheet outlining all of the projects that have been completed in the last four years. His handout had thirty-five items. This is quite impressive. Thanks to all those that helped to see these projects completed.

Finance:
Dave presented information and a handout showing our finance information over the last five years. He mentioned that an internal audit will be done this month. Our Parish has also recently received two really generous donations to pay down the debt. These donations bring the debt down to around $14,000.00. Medeana handed out information showing the annual year-end report on finances. This was completed and ready to go to the Archdiocese office prior to the deadline. Anyone interested in reviewing this report may find a copy posted on the bulletin board. If you wish to review the whole 13-page report, you will need to contact Medeana. Now that the debt is getting close to being paid off, Father Mark said we could look into a feasibility study for our new church; however, this will not even be considered until after Easter of 2012. Medeana handed out a copy of the new church registration form she will soon start using. She asked the council members to give her feedback and let her know of any changes or additions she should make to it. Joanne mentioned that the Parish could use more white tables. She said that four 6 ft. tables would run approximately $370.00. She said she would bring more information about this to our next meeting.

Youth Report:
Shari said the fireworks stand went well. She did not have an exact figure on the total outcome yet for this meeting. She said parents that will be bringing children to Vacation Bible School will also have an opportunity to sign their children up for Religious Education classes. She said 69 children have signed up for Vacation Bible School. She said 26 children attended Camp Kateri Tekakwitha. The Confirmation Retreat is on Saturday, August 27, from 10:00 a.m. - 9:00 p.m. at the Parish Center. Religious Education classes will begin on Sunday, September 11.

Old Business:
Our Web site meter has reached 4,059 hits. This figure is from when we started monitoring the site approximately a year ago. Glad to see so many checking out our Parish on-line. If you have not checked out our Web site you may do so at: www.shcct.com

Playground:
Phillip said the new fence will go up for the playground after the heat wave passes.

Rental Events: A brief discussion was held about when we rent out the Parish Center. Bill mentioned that the party renting the
facilities should be informed to not let little children run around outside on the Prayer Garden or play in the fountain.

New Business:
Father Mark said the bi-annual donation of $100 to the Ministerial Alliance has been paid.

HVAC Filters:
Bill said he would change out the filters for this after it cools down. He mentioned also about set-up for next year’s picnic with the tent. It may go on the west side of the classrooms. Next year’s picnic will be June 3, 2012, and for the first time on our own church grounds.

PIANO PLAYERS:
Our Parish is in desperate need for piano players. There are many times when we do not have any music at the Saturday Mass for lack of a piano player. If you can help us out, please step forward. Our Parish would be so grateful to anyone that can help us out.

Computer/Projector:
Phillip mentioned that the computer/projector was malfunctioning recently. He thinks he may have fixed it but will monitor it closely.

HVAC Contracts:
Bill said the new contracts will be signed soon. He also said he would need a man-lift to change out the light bulbs in the higher end of the Parish Center.

March 14, 2011

Father Mark opened the meeting with a prayer. Those in attendance were Father Mark, Bill Loechler, Phillip Welsh, Paul Mast, Elaine Standish, Elaine Schuler, Sharon Edmonds, Medeana Knipp, and Shari Petree.

Finance Council Representatives: Dave Hernandez, Chris Donnelly and Joanne Acinger-Vancas. Guest Theresa Mast representing the Elizabeth Ministries.

March 2011 minutes were approved as originally submitted.

Finance Council reported a continued positive cash flow. Our loan balance is now $93,302 and thanks to parishioners’ dedication, it is going down fast.

Theresa reported on the success of the Elizabeth Ministry. The books “Angels in Water,” donated by the Knights of Columbus will be wrapped and put with small step gifts for expectant mothers. These books are to help prepare children who are awaiting the arrival of a new baby in the family. She asked if the council would consider moving forward on the outdoor play area, at least the fencing for the area. The council agreed that Phase I will be the purchase of the fence, and the adult Couples Group will install it. Small religious items and wrapped candies are needed for the Easter Sunday Egg Hunt.

Shari reported 24 youth attended the February 27 Jr. High Youth Rally “Many and One.” Abortion Survivor: Gianna Jessen-Live will be on Sunday, March 27, 10:30 a.m. - 1:30 p.m. at West Haven Baptist Church. All Sacred Heart youth, 7th-12th grade, are encouraged to attend. Confirmation candidates may count this toward a “Spiritual Enrichment” requirement. Shari noted that she has observed children taking an interest in the prayer garden.

There is an average of 18 hits per day on our parish Web site, www.shcct.com. In the future, there will be information posted about our cemetery and also funeral information.

Westar Energy will install and maintain lights at each driveway entrance. During the dark winter months, especially when there is snow on the ground, our driveway entrances are very hard to find. Hopefully, the lights will help.

Bill has contacted the original contractor to get information about yet another leaky roof issue. There is a new design of the vent that should solve one problem area. Council agreed to have the new vent installed and to repair an area over Shari's office at the same time.

Phillip Welsh will look into the purchase of a backup system for Medeana's computer, something that will prevent loss of data in emergency situations.

Floors in the Worship Center and hallways will be buffed and waxed April 18 and 19, the Monday and Tuesday before Easter.

Lawn care bids will be discussed at the April Council Meeting. Bids for cleaning the parish Center are now open and are due back NLT April 8, 2011. Bid sheets are located in the back of the church on the white table. .

The Facilities Committee will be the project manager for the Spring Clean Up on April 16. Watch for sign-up sheets in the hallways.

One hundred T-Bones tickets have been ordered. Mark your calendar for Sunday, June 26, 2011. Game starts at 5:05 p.m.

February 14, 2011

Father Mark opened the meeting with a prayer. Those in attendance were Father Mark, Bill Loechler, Paul Mast, Elaine Standish, Sharon Edmonds, Medeana Knipp and Shari Petree.

Finance Council reported a continued positive cash flow. Our loan balance will soon be less than $100K and that it could be paid off in less than 20 months at the current rate. Discussed the practicality of establishing an account to accommodate parishioners wishing to institute a direct deposit for their weekly/monthly contributions. However, there would be a fee involved for the parish with this type of a setup. Therefore, it was decided to encourage parishioners to establish their own payment schedule with their own banking institution. The Finance Council and the Pastoral Council approved the purchase of a fire-proof, locking file cabinet for the office.

This is the last weekend for Call to Share with the In-Pew Appeal.

Shari reported that Juniors for Christ (3d through 6th grade) will meet for the first time this Wednesday, Feb 16, 2011, at the parish Center. Meeting times will be the first and third Wednesdays of every month, 3:30 p.m. - 5:00 p.m. Youth are encouraged to invite their friends of any religion. Shari reported that there was a great turn out for Youth Bingo. Thank you to all who attended and who contributed in any way.

Discussed the issue of how to gain financial support from families who have relatives buried in Sacred Heart's cemetery but who do not belong to our parish. A letter will be sent reminding families of the costs involved in maintaining the cemetery.

Floors in the Center and the hallways will be buffed this week due to the abuse caused by the winter weather. They'll be stripped, waxed and buffed after the Knights’ last fish fry and before Easter.

Sacred Heart Web site www.shcct.com has received 2,422 hits as of Feb 14, an average of 8 hits per day. Father Mark plans to add a column to the “Pastor's Corner” at least once each month. He hopes to start this during Lent.

Bids are open for lawn care and mowing the field around the Center. Bid sheets are located in the back of the church on the white table. Bids must be returned NLT weekend of March 11, 2011.

October 11, 2010

Father Mark opened the meeting with a prayer. Those in attendance were Father Mark, Bill Loechler, Elaine Standish, Elaine Schuler, Paul Mast, Phillip Welsh, Sharon Edmonds, Medeana Knipp and Shari Petree. Representing the Finance Council were Chris Donnelly, Dave Hernandez, Bill Behm and new member, Joanne Acinger-Vancas.

September minutes were approved with one correction. Shari reported that there are 274 children, pre-school through high school, enrolled in religious education. The September minutes reported 200 children enrolled.

Finance Council reported a positive cash flow. If we continue paying on the debt the way we are, it's possible it could be paid off in mid-2012. It was originally planned as a 10-year pay off; at the rate we're going, we will beat that by nearly 2 years.

Shari has 18 kids signed up to attend a play in Leavenworth, “St. Bernadette.” She's looking for more adult drivers. Organization of teachers' workroom is an issue. How to get that room organized and keep it that way.

Site Meter on our web site: As of Monday, Oct. 10, 1,363 hits have registered. The majority of viewers were looking at the weekly bulletin.

Parish Directory is completed. If you have not received your copy, stop by the parish office. If you did not have your picture taken, copies of the directory are available for purchase.

Ministry Fair and Get Acquainted Sunday should not be held on the same weekend. It wasn't beneficial to hold the Ministry Fair after each Mass. Next year, the focus will be after the 10:30 Mass. Get Acquainted Sunday was not well attended. It was suggested that parish families sponsor each new parishioner. The sponsor would keep in touch with them and encourage their attendance for a period of time. Father Mark thought this a good idea. Thank you to everyone who participated in the Ministry Fair.

Fall Work Day had a great turnout. Next time we will organize the sign-up sheet with specific cleaning teams. This will help organize the workload and the workers. A big thank you to all who participated.

Christmas Cards for family members who are serving in the Military or in Missions: Contact the parish office with names and addresses (also pictures if available), so cards can be signed by parishioners and mailed in time for Christmas.

The new piano has made a wonderful difference, and we're hoping it will generate growth in this ministry.

The television has been hooked up in the Cry Room (4th-grade classroom), and the camera will be purchased and installed soon. Mass can then be viewed in that room, and hopefully this will make it more inviting. Decisions concerning the playground have been put off until spring. Snow removal bid was accepted from Henry's Lawn and Landscape. Baptismal Bulletin Board will be hung on the wall over the Elizabeth Table in the hallway. Parents of those being baptized will be responsible for submitting pictures for the board. HVAC has an air induction motor going bad. Cost for part plus trip to deliver is approximately $500. Parts were donated by a parishioner and Bill will install. All tile floors were buffed on Monday after the bazaar.

Facilities Committee will be forming soon, and Carolyn Hernandez has agreed to act as the Project Manager.
Annual Bazaar was a huge success with 859 dinners sold. That is a record! Thank you everyone who contributed in any way.

September 13, 2010

Father Mark opened the meeting with a prayer. Those in attendance were Father Mark, Bill Loechler, Elaine Standish, Elaine Schuler, Paul Mast, Phillip Welsh, Medeana Knipp, Shari Petree, Dave Hernandez, and Bill Behm. Guests Connie Putthoff and John Reischman represented the Cemetery Board.

August minutes were approved as written.

Cemetery Board:
Connie Putthoff & John Reischman presented information regarding the cemetery. They need to fix 700 feet of road. There is a buildup of water in the north part of the cemetery. They spoke of the need to fix the road going north and south from Maple Grove. They need to change this road from being 40 ft to 20 ft in width. They are currently marking sections for identification purposes so that in bad weather grave plots will be easy to find. In order to do the necessary work of filling in the portion that has standing water and to change the road, would cost approximately $8,000.00 The Pastoral Council voted to allow the necessary work to be done. This will make for a much nicer cemetery and allow for future growth. The Cemetery Board has the money to do this. Please consider giving our Cemetery Board a nice donation when you see the envelope in your offertory box. Connie is also in the process of making a book that outlines all the information regarding the cemetery. The council also discussed having information about the cemetery on our website.

Financial Report:
Medeana posted the parish Fiscal Year 2010 annual finance report on 8/14/10 for the parishioners. Dave Hernandez finalized the Finance Council Report and Internal Control Survey, and it is now ready to be signed by Father Mark and then mailed in to the archdiocese. Dave reported that Joanne Acinger-Vancas will be joining the finance team of our Parish. Welcome Joanne. Dave reported that the Parish continues to have a steady cash flow even though our summer income was slow.

Youth Report:
Shari presented her budget for the 2010-2011 year. The amount needed is $5,100.00. The Parish Council voted to approve the budget. Shari said there are 200 children enrolled in religious education this year. Shari presented the council with her yearly planner for the youth of our Parish. Bill still has major concerns as to how we build a Parish Youth Group.

Shari said that she had been asked by the Tonganoxie Middle School to borrow our bingo equipment when they have their chili supper on Oct. 23. The Parish Council voted to allow this, as long as Theresa Kelley is accountable for the return of all the equipment. The council agreed to remove the small portable televisions from the teachers’ work room.

Dress Code:
Bill brought up a reminder on the dress code for those involved in the Eucharistic Ministry. Please remember to dress nicely. No jeans or shorts are permitted. A reminder will be attached to the ministry schedules. If you can’t dress up for God, who can you dress up for?

Website:
Father Mark reported that we have had 1,141 hits on our website. Father shared with the council information he has acquired that will be used to make the Website more energizing to the community.

New TV:
Phillip mentioned that the new flat screen television is ready to be installed in the 4th grade classroom. He is working on getting it connected to the PA system in the Parish Hall. This television will be a nice asset during Masses for the cry room, as parents will be able to see the service going on. The television will be hung on the wall.

Pictorial Directory:
The directory should be back very soon now, so please be patient.

Bazaar:
Elaine Standish reported that the bazaar still has 50 slots that need to be filled. We are still short six turkey bakers, too. Anyone that has not signed up to do something should consider doing so. Our bazaar needs your help to be a true success. The shifts are not that long only approximately 1.5 – 2 hours.

Get Acquainted Sunday:
We will be honoring 16 families during our Get Acquainted Sunday after the 10:30 Mass on Sept. 19.

New Business:
Bill opened this agenda item with a statement of concern that the council needs to have a greater sense of urgency for some of the 2010/2011 goals, especially music ministry and outreach. Bill asked Father Mark to be project manager of the outreach goals and to use the pastor page on the Website as needed and to lead the council to a successful approach to accomplish these goals. Paul Mast is the project manager of growing the music ministry. The number one goal is for our music ministry. With our new piano, we want to really build up the music program. Anyone wanting to join the choir or play the piano, please come forward.

Baptism Photos:
The Pastoral Council voted to purchase a new 4x5 bulletin board for displaying pictures of all our cute babies that have been baptized during the year. This will be placed on the west wall in the hallway.

Welcome Sign:
Bill showed an outline of the welcome sign he wants to have made and hung over the office staff door. It basically
will welcome all guests that come in the outside door to please knock and announce that you are in the building. This is just a nice courtesy for the office staff and for security purposes. The sign will be installed not later than Oct. 1.

Liturgy Update:
In Wilma Plake’s absence, Paul presented an idea for raising money to offset the cost of our new piano. It was called “Hickabilly Auction.” It is similar to bingo except you bid on donated gifts. Paul thought this would be fun to do perhaps on “Fat Tuesday.” The council will look into this as there may be certain legalities that would have to be met.

Snow Removal Bids:
Yes, it is time to bring up this awful word “snow.” Anyone wanting to bid on this job, please contact Bill Loechler.
Bids will be accepted until Oct. 8, 2010.

Playground Proposal:
Bill presented an outline of the playground that the council would like to see built for our small children. This will be
reviewed and discussed more at another meeting.

Ministries:
All ministries are asked to please clean up your particular areas in the basement and set aside anything not needed by the lower basement stairs.

August 9, 2010

Finance Council reported July as a great month for pledges, also a great 1st week in August. The parish debt is coming down quickly.

It is a requirement that each parishioner receive his/her financial statement. A number of statements have not been picked up from the table in the hall way, therefore, those will be mailed.

Ed O'Brien asked the council if the Knights of Columbus could present the documentary “Blood Money, The Business of Abortion,” at the Parish Center on Sunday, October 17, at 7:00 p.m. Other churches in the area will be invited, and the price of admission will be one package of baby diapers or a cash donation, which will help support the Wyandotte Pregnancy Help Clinic and Leavenworth Birthright. There are now four community churches in the Pro-Life sign rotation.

Ed Standish explained the “Silver Rose” program, which honors Our Lady of Guadalupe, and was originally started by teenage boys aspiring to become members of the Knights of Columbus. Ed asked if a prayer service could be held at the Parish Center on Wednesday evening, September 22. The council agreed to both requests.
In Shari's absence, Paul reported that 66 children attended Vacation Bible School, down from 88 attending last year. Everything ran very smoothly; however, they really needed more adult supervision. The computer and new electronics made a major difference in the overall atmosphere of the week.

Council's 2010/2011 goals were reviewed and prioritized. Staying on top of roof issues and paying off parish debt remains top two, and reaching out to “Christmas and Easter” Catholics is a continual, ongoing goal of the parish.

Our Parish Website www.shcct.com will soon feature a pastoral page by Father Mark.

The parish's monthly support of St. John's Mission, Belize was discussed. It was decided that we will continue to support St. John's until our current envelopes are exhausted (June 2011), and the new envelopes (July 2011) will support the MaryKnoll Lay Missioners.

T-Bones game was not as well attended as in the past. If schedules allow, we will look at attending in June next year.

The Parish Pictorial Directory will be proofed and sent back to the publisher for printing by August 23, 2010.

Get Acquainted Sunday will be held on September 19, after the 10:30 a.m. Mass. Twelve new families have joined the parish during the past 6 months. There will be a Ministry Fair after each Mass on that weekend.

Update of CPR training is being scheduled for October. Project Manager (PM): Paul Haverkamp.

After 20-25 years, our parish piano instrument is occasionally malfunctioning and showing signs of age. Pending approval of the finance council, the parish council voted to purchase a new replacement piano. The council also voted to purchase a flat screen TV and electronics to improve the cry room and make Mass visible in that room. The TV will also be useful for Religious Education classes and the youth group. A ceiling fan has been purchased for the kitchen, and Bill will install it before the bazaar.

July 10, 2010

Father Mark opened the meeting with a prayer. Those in attendance were Father Mark, Bill Loechler, Paul Mast, Elaine Schuler, Elaine Standish, Phillip Welsh, Sharon Edmonds, Dave Hernandez, Medeana Knipp. Guest: Peggy Dehoff.

June minutes were approved as originally submitted.

Election of officers was held: President, Bill Loechler, Vice President, Phillip Welsh and Secretary, Sharon Edmonds. Bill agreed to accept the president's position for only one more year.

Peggy confirmed that records of the original capital campaign had been closed and turned over to the finance committee. Approximately 80%, an impressive number, of the original pledges were paid in full.

Bible School is scheduled for Monday, July 19 through Friday, July 23, 5:30-8:00 p.m. This summer's theme is, “Egypt....Story of Joseph.” This year we will not have a light dinner, but we will have snacks.

The council discussed the need for some type of security for the center during office hours. The office staff feels very vulnerable with our “open door” policy. Possible solutions were discussed but Father Mark does not want the doors to be locked during office hours. He feels that a church should be open and available for anyone wanting to come in to spend time with the Lord and doesn't believe they should have to go through the office first. More suggestions and discussion to follow next month.

Council agreed to share the costs of the CPR/AED refresher course. Parish will pay $10, Knights pay $10, and person taking course will pay $10. Parish will pay all costs for the parish staff.

The council voted to not join Tonganoxie Chamber of Commerce.

Installation of the projector for the worship center will be completed before VBS begins. Numbered plaques identifying the classrooms have been installed.

Paul Mast is going through books on the Library Cart and discarding those that are not Catholic related. Those books that are not appropriate will be donated to the public library.

Ground settling project on the east side of the building has been completed. Big thank you to Mark Breuer for his time and equipment.

Parking lot lights are being repaired. A big thank you to Greg Plake for the donation of his time and equipment.

Notice the new wooden Holy Water fonts, new candle holders on the altar, and new Holy Water container and sprinkler. They are beautiful, thank you so much. They were paid for with money donated to the Altar Society in memory of Bob Knapp.

Peggy and Sharon will work on a wedding coordination letter which will be helpful to couples planning to get married at the Center.

Elaine Standish is the parish council representative for the Parish Bazaar.

Bill asked each council member to bring their list of goals for the upcoming year to the August meeting.

Laura Haverkamp requested that the council consider becoming a member of the Tonganoxie Chamber of Commerce. The Chamber publishes a monthly newsletter that lists the ongoing events in Tonganoxie. The other Tonganoxie churches are members, and Laura believes it would be beneficial to the parish to join. Membership cost for the year is $50, and a parishioner has offered to fund it for the first year. The council discussed this and will decide later.

Paul Haverkamp reminded the council that the CPR certificates that were issued 2 years ago will expire in the fall. The trainers have told Paul that if at least 24 people take the class, they could offer the training at a cost of $30 per person. More to follow on this subject. Paul agreed to again be the Project Manager.

Dave reported that the summer Bingo fundraiser produced a profit of approximately $2,800, which will go directly to the principal of our loan. Attendance was down from last year; however, all agreed that it is a worthwhile fundraiser. Thank you to everyone who donated prizes, volunteered, and participated. We look forward to seeing you again next year. Mark your calendars now, June 11, 2011.

Parish Picnic was a big success. Great attendance and great food. Thank you, Tony Miller, for providing the tent.

Shari sent forms to parents of R.E. students requesting they complete and return to her by the end of the spring session. She wants to get a good count of the students who will be enrolling in the fall of 2010. The response was minimal. She agreed to put the form on-line, hoping that will be a better way to reach parents. Vacation Bible School is scheduled for Monday, July 19 through Friday, July 23. Light Dinner, 5:30-6:00 p.m., VBS 6:00-8:00 p.m. This summer's theme is, “Egypt....Story of Joseph.”

Council toured the parking lot to determine a location for the basketball goal for the youth of the parish. Goal will be placed along the southeast side of the parking lot.

The projector for the worship center will be installed before VBS begins. Numbered plaques identifying the classrooms are ready and are being installed.

Sidewalk repair at the kitchen entrance has been completed. Thank you to all who helped with this project.

Positive comments have been received concerning the doors being kept closed inside the worship space before and during Mass. Keeping these doors closed makes the worship space more conducive to prayer and meditation. Greeters and ushers please be aware of efforts to make this change.

Everyone is concerned about the directory and why it is taking so long to get it published. The council apologizes for the delay. We thought we were doing the right thing—trying to save money; however, that is proving to be a wrong decision. The directory will be completed and distributed soon.

Carolyn Hernandez discussed the safety hazards associated with the sidewalk and entrance on the northwest side of the center. She said she did a walk through of the building looking for other safety issues but didn't notice anything at this time.

Medeana reported that our loan balance is down to $184,000! We've saved over $8,000 on interest due to the Mini Fund Drive. Summer Bingo scheduled during Tongie Days, Saturday evening, June 12. Volunteers are still needed. Contact Dave Hernandez if you'd like to help. Prize donations are beginning to filter in. We're looking for prizes with a value of at least $10-$20. Mass will be at 4:00 pm on that Saturday evening.

Shari shared a film covering this summer's theme for Vacation Bible School: “Egypt....Story of Joseph.” VBS is scheduled for Monday, July 19 through Friday, July 23. Light Dinner 5:30-6:00, VBS 6:00-8:00 p.m.

The council reconsidered the earlier decision to remove the couches and chairs in the 3rd grade classroom. One set has been claimed, but the council agreed to keep the second set for now.

Council agreed to permanently install a basketball goal for the youth of the parish. Goal will be placed along side the parking lot. Discussion was held concerning the construction of play equipment for 3 to 6 year olds. Possibly parents could help with the construction in order to keep the costs down.

The projector for the worship center will be installed before VBS. Phil is searching for a copier for the teachers’ work room. Plaques identifying the classrooms have been made.

Several parking lot lights are blinking off and on (mostly off). The ballasts in the light sockets need to be replaced. Costs of this repair will be expensive because of the equipment needed to reach the lights. If anyone has access to a bucket truck (possibly through their work), donation of its use would save the parish money. Please talk to Bill Loechler, phone # 913-369-3137.

Bid for sidewalk repair from Bartlett Cement and Landscaping has been accepted and repair will be made as soon as weather permits.

Paul explained information he had put together on different models of pianos. Our current piano was purchased in 1986 and is ready for retirement. Discussion was tabled but all agreed that a new piano is necessary, probably something in the $2,500 - $3,000 range.

Doors are being kept closed inside the worship space before and during Mass to help reduce the noise that comes from the hallway. Keeping these doors closed makes the worship space more conducive to prayer and meditation. Greeters and ushers please be aware of efforts to make this change.

Pastoral Council elections will take place in June. Anyone interested in running, contact the parish office with a recent picture and short bio NLT 2nd week of June.

John explained the cemetery board's plans to do some much needed dirt work at the cemetery. Connie explained the need for an attorney's opinion concerning the Burial Rules and Regulations that she's working on. The cemetery board members are: John Reischman, Connie Putthoff, Ray Martin, Steve Miller, Kerry Putthoff and Mark Knipp. Thanks to all members of the board for your commitment. Cemetery clean-up day will be announced at a later date.

Dave reported that the parish cash flow continues to remain steady. Summer Bingo is again scheduled during Tongie Days, Saturday evening, June 12. In order to make this a successful fund raiser, we're asking for prize donations with a value of at least $10 to $20. Something new that anyone would like to win as a prize. Mass will be at 4:00 pm on that Saturday evening.

Father Mark reported that the parish received, $830.50 a rebate from the 2009 Archbishop Call to Share, (ACTS). This amount, plus the $700 received earlier.

Shari discussed her concern with the lack of interest shown in a youth group. She's searching for answers and is open to any suggestion. First Communion will be held April 25, at 12:30 p.m. Mass. Graduation Mass, 10:30 a.m., May 2. This summer's Vacation Bible School: Monday, July 19 through Friday, July 23.

There are two couches with matching chairs in the 3d grade class room. The council agreed that in order to maintain a classroom environment, the furniture should be removed. If anyone is interested in either couch and chair, contact the parish office. If they haven't been claimed by May 3, they'll be donated to the thrift store.

Phil Welsh reported that the projector for the worship center has been purchased and will be installed soon. Phil is also looking into the purchase of an inexpensive copier for the teachers work room.

The parish calendar is now available on the parish web site, www.shcct.com. . Ministry schedules are also posted. All reservations and scheduling must be coordinated with the parish office.

The Janitorial bid was accepted from the current janitorial service. Thank you to all who submitted bids.

The council agreed to remain with the current Sunday Bulletin Company.

Elaine Standish agreed to represent the council for the Fall Bazaar committee.

There was a good turnout for the Spring Cleanup. Thank you to all who helped, we'll meet again in the fall.

Pastoral Council Minutes
March 8, 2010

Father Mark opened the meeting with a prayer. Those in attendance were Father Mark, Bill Loechler, Paul Mast, Elaine Standish, Elaine Schuler, Phillip Welsh, Dave Hernandez, Chris Donnelly, Medeana Knipp, and Shari Petree. Our guest was Theresa Mast.

The February minutes were approved as written.

Dave reported that the outlook for March looks good. We should have one more large gas bill. Medeana will pay the minimum which should be close to zero since we have been paying ahead each month and had been maintaining a credit with the gas company.

Chris reported that the building fund will soon be under $200,000.00.

Theresa gave updates to the various programs in our church which she oversees. She advised that there will be another Easter egg hunt this year. Anyone may donate small religious items for this.

The Young Couples group currently has 10 children in the nursery. Theresa asked the council if they would be willing to donate some money for the purchase of small indoor toys for the nursery. The council approved to donate $200.00 for this cause.

Theresa spoke of the Rosebud program and mentioned a proposal for the white rosebuds. The white rosebuds are currently to be used when someone has a miscarriage. She mentioned having seen an evergreen tree with white doves placed on it. She suggested placing an evergreen on the church property, perhaps the prayer garden or the cemetery. The white doves would have a deeper expression than the rosebuds. The council may consider incorporating this when future landscaping needs arise.

Theresa mentioned forming a “Women of Grace” Bible study group. This would be for any woman in the church. She would like to see this happen in the fall of 2010. This group would be based off of the books by Johnette Benkovic.

Shari reported that there are 237 children registered from pre-school age through 12th grade. First Communion will be held on April 25 at 12:30 p.m. There will be a rehearsal on April 23 at 6:00 p.m. Graduation Mass will be on May 2 during the 10:30 Mass. There will be 20 seniors graduating from our Parish. There are 12 young people training to be servers. They should be ready to go on the schedule sometime this spring.

Bill reported that we will hand out cards to prospective new members during the Easter Masses as was done during the Christmas Masses.

The roof leaks are still being monitored. A paper trail of all correspondence with architect and general contractor has been started by Bill and Medeana. A letter has gone out to see if they will replace the coping that does not match the drawings and install the counter flashings that were never put on. Bill reported that Andy Pitts from Treanor reported not finding any moisture in the insulation.

Phillip reported that the projector should be here later this week and ready to set up. He has fixed the exhaust fan in the bathroom for us. Thank you Phillip for all that you do. He passed out samples of identification plates for each room in the Parish. The council agreed to purchase the id plates which show only the room numbers.

Bill advised that the floors in the Parish will be stripped, waxed, and buffed before Easter. The Parish Spring Clean-Up Day will be March 27th. Sign up sheets will be going up soon. All help is welcome.

Elaine Standish reported that she ordered 100 T-Bones tickets. The date for this outing is July 25th. She also said that the Parish pictures are organized and the directory front cover has been picked out for our pictorial directory.

Bill reported about an editorial in the Tonganoxie Mirror regarding our Pro-Life signs. The Tonganoxie Christian Church asked to be part of the rotation along with West Haven Baptist Church and Sacred Heart.

The Council voted to keep our current lawn care with Henry’s. The council voted to let Paul Haverkamp mow the outer field.

Cleaning bids for the Parish will soon be going out. Watch for this notice in the bulletin. All bids need to be back by April 10th.

Get Acquainted Sunday or GAS will be on April 18th after the 10:30 Mass. Anyone representing a Parish Ministry who would like to share information at this time, please contact Bill Loechler at 369-3137.

Paul reported that the piano sometimes changes pitch all on its own. This may only get worse. The council discussed different options such as a new piano. Paul said he would look into prices on new/used pianos for us.

Bill reported that the actual cost for a storage cabinet could be $525.00. Phillip said he would look into the cost of purchasing one from Quill.

Bill said that the Cemetery clean-up will be closer to Memorial Day, possibly around mid May.

Father Mark advised that we surpassed our goal on Call to Share. This is wonderful news.

Pastoral Council Minutes
February 8, 2010

Father Mark opened the meeting with a prayer. Those in attendance were Father Mark, Bill Loechler, Paul Mast, Elaine Standish, Elaine Schuler, Phillip Welsh, Sharon Edmonds, Dave Hernandez, Chris Donnelly, Medeana Knipp and Shari Petree. Guest Wilma Plake represented the Liturgy Committee.
January minutes were approved as written.

Wilma explained the role of the Liturgy Committee and the many ministries involved. Our music department is in need of all types of musicians. If we had more piano players, it would allow everyone an occasional break from the weekly responsibility. If any of our new parishioners are interested, please contact Wilma Plake or Paul Mast. Father is now offering Mass at Vintage Park on the 1st Thursday of each month, and at the Tonganoxie Nursing Home on the 3rd Thursday of each month.

Shari reported that in spite of the weather, the profits for the youth bingo was in the range of years past. Plans are underway for the fall Confirmation class. Shari and Jan Morey will co-teach as there are approximately 30 candidates. A meeting is scheduled after spring break.

The finance committee reported a continued positive cash flow and that we are still receiving pledges
generated by the Mini Fund Drive. Dave reported that in spite of our exceptionally cold winter, we have a credit with the gas company. Summer Bingo is again scheduled during Tongie Days, June 12, 2010.

The council agreed to purchase a wireless projector for the worship center. This will be used with the electronic projection screen that was purchased last fall. (Yes, there is a screen hanging above the Altar.) Cost of the wireless projector is approximately $1,500, and the $750 refund received from the 2009 ACTS will be used. Also, the wiring needed for the camera to project Mass to the 4th grade classroom will be installed at the same time as this projector. However, the purchase of the camera itself will be at a later date.

Floors in the center and the hallways will be waxed and buffed after the Knights’ last fish fry, but before Easter. Carpet cleaning was discussed, but decided it would be better for the longevity of the carpets to invest in a heavy duty vacuum and spot clean the carpets.

Ministry schedules will be posted on the Sacred Heart web site www.shcct.com. For those who find it hard to
remember to pick up their schedules from the boxes in the hallway, they can now find them online.

Parish Directory will be out soon.

Bids for Lawn Care and mowing the field are being accepted. Bids are due back NLT March 7, 2010.
